iPhone Backup Checklist Before Repair or Replacement

Prepare a verified backup, account access and a safe handover before replacing or repairing your iPhone.

Prepare before you hand over the phone

Before repair, replacement or a major reset, list what you would lose if the phone stopped working today. Photos, locally saved documents, messages and authenticator access may need different preparations. Do not assume that an account login automatically backs up every app. A useful checklist identifies both the data and the way to recover it. Keep the old phone available until you have verified the new device, unless the repair process specifically requires handing it over first.

Run and confirm a backup

For iCloud backup, open Settings, tap your name, then iCloud and iCloud Backup. Connect to Wi-Fi and use Back Up Now if you need a current backup. Check the recorded backup time after it completes. A progress message or a switched-on setting is not the same as a successful recent backup. Available cloud storage can affect completion. If the backup fails, resolve the error before erasing the phone; repeatedly restarting without checking storage or connectivity may leave the same problem unresolved.

Check data separately

Prepare a short verification list based on your own use: recent photos, contacts, important notes and essential app documents. Some data may sync independently of the device backup, while some applications use their own backup systems. Open the relevant account or app settings and confirm what is included. Do not delete an original photo or document simply because a cloud icon appears next to it. When possible, verify important files from another signed-in device before relying on the cloud copy.

Protect access to your accounts

Know your Apple Account login and how you will complete authentication when the phone is unavailable. Store recovery information somewhere secure that you can reach without this device. Review authenticator migration instructions for the specific app you use. Never give a repair worker an email password, banking password or verification code as a shortcut. If a service genuinely requires a device setting change, check its official preparation instructions and perform the change yourself where possible.

Verify before deleting the old copy

After moving to another phone, test calling, messaging, important applications and account recovery. Check a few recent and older files rather than only the home screen. Keep the old backup until the transfer is confirmed. If you plan to sell or give away the device, follow Apple’s current handover instructions after securing your data; a backup does not remove your information from the old phone. Record the backup date and your verification results so you can see what remains unfinished. Repeat this preparation before future repairs, especially if the phone stores work files you cannot recreate.
